They\u2019re a brilliant marketing and sales strategy that maximizes the ROI. They allow you to host webinars around the clock, passively bringing in leads and sales while you\u2019re sleeping, cooking, or watching Netflix series.<\/p>\n\n\n\n<p><strong>Quick note before we start:<\/strong> If you are new to marketing automation webinars, think of an automated webinar as a system, not a single recording. Unlike live webinars, automated webinars are scheduled and run without the direct involvement of a presenter during the actual event. They are designed to look and feel like live sessions, often including features like real-time chat (managed by bots or pre-set scripts), polls, and Q&amp;A sessions.<\/p>\n\n\n\n<p><br>With these webinars, you can pre-record your content, including slides, videos, and demonstrations, and schedule them to play at set times or on demand. It&#8217;s the perfect solution for reaching a global audience, offering flexibility and the ability to repurpose content effortlessly.<\/p>\n\n\n\n<p><br>Automation does not mean \u201cset it and forget it.\u201d It means you set it once, then keep improving it. The first version rarely converts well; the second and third do.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"475\" src=\"https:\/\/webinarninja.com\/blog\/wp-content\/uploads\/2025\/12\/automated-webinar-1024x475.png\" alt=\"automated webinar\" class=\"wp-image-6314\"\/><\/figure>\n\n\n\n<p>The following steps can make your automated webinars actually work for you in driving conversions.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 1: Plan<\/strong><\/h3>\n\n\n\n<p>You are not planning a live webinar. <a href=\"https:\/\/webinarninja.com\/live-webinars\/\"><strong>Live webinars<\/strong><\/a> are a completely different breed, though some of the pre-production is the same.<\/p>\n\n\n\n<p>Before you do anything else, get into the automated mindset.<\/p>\n\n\n\n<p>Take these three things into consideration before you turn the webcam on:<\/p>\n\n\n\n<p><strong>1. How you\u2019re presenting: <\/strong>Will this be a pure slideshow with a voiceover? Will you be on camera yourself the whole time? Part of the time? Do you have other videos or media to include?<\/p>\n\n\n\n<p>Remember, since it\u2019s pre-recorded, you can get fancier with the multimedia. You won\u2019t have to worry about transitions and timing as much because you can always edit this presentation to perfection.&nbsp;<\/p>\n\n\n\n<p><strong>2. What problem you\u2019re addressing:<\/strong> The topic and title of your webinar must do the one thing all marketing content do: present a solution to people\u2019s problems.<\/p>\n\n\n\n<p><br>For example, your problem, dear reader, is that you don\u2019t know exactly how to ensure an automated webinar will grow your business. Hence the title of this blog post.<\/p>\n\n\n\n<p>The same principle applies to webinars. Be specific. Don\u2019t create a webinar called <em>How to Lose Weight<\/em>. <a href=\"https:\/\/webinarninja.com\/webinar-how-to-host\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Create a webinar<\/strong><\/a> that addresses a particular problem: <em>How to Lose Weight When You Have No Time<\/em> or <em>How to Lose Weight and Still Enjoy Beer<\/em>.<\/p>\n\n\n\n<p><br>Your specific audience with this specific problem is out there. Automating your webinar will increase your chances of finding them by making the webinar more available. So don\u2019t be afraid to niche down!<\/p>\n\n\n\n<p><strong>3. What you\u2019re selling<em>:<\/em> <\/strong>Your content has to help people on its own, even if your attendees don\u2019t buy a thing. But honesty with ourselves translates to honesty with our audience.<\/p>\n\n\n\n<p><br>So, let\u2019s be honest. The webinar is designed to induce an action, usually a purchase. You have to design the webinar around that. Again, I\u2019m not saying that <em>all <\/em>you care about is the sale. But if your sales offer doesn\u2019t make sense in the context of the webinar, people will feel tricked.<\/p>\n\n\n\n<p><br>Nothing destroys trust more than showing up to learn something and then being offered something that\u2019s only vaguely relevant (or irrelevant) to their problem.<\/p>\n\n\n\n<p><br>Make sure that what you\u2019re selling in the offer is an extension of what you\u2019re giving during the webinar.<\/p>\n\n\n\n<p><strong>Example of \u201cplan it for automation\u201d:<\/strong><\/p>\n\n\n\n<p>If you are a B2B coach, a live webinar can be broad because you can read the room and pivot. An automated one cannot. So instead of \u201cHow to Improve Team Performance,\u201d go with \u201cHow to Fix Performance Drift in Remote Teams Without Micromanaging.\u201d That specific title attracts the right pain, and your follow-up emails can stay laser-focused.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 2: Prepare<\/strong><\/h3>\n\n\n\n<p>Now you know what you want your automated webinar to look like. To make sure it turns out right, let\u2019s get into pre-production. There are three essential aspects to this:<\/p>\n\n\n\n<p><strong>1. Outlining:<\/strong> Decide how much information you plan to convey. Avoid excessive detail; your audience is only there to get what they need, not what we find interesting!<\/p>\n\n\n\n<p>Then, determine the most concise (i.e., shortest) way to convey that information. Break the information down into subsections, and devote the appropriate time to each.<\/p>\n\n\n\n<p>The point is to make it all digestible: nobody likes a lecture. If you\u2019re helping people with, say, weightlifting, outline the subsections: equipment, form, reps, supplements, etc. Keep it snappy and move from one to the other to keep the audience\u2019s attention. You won\u2019t be able to \u201cwork the room\u201d like during a live webinar, so compensate.<\/p>\n\n\n\n<p><strong>2. Make Your Slides: <\/strong>Find a template that you can easily work with, and include visuals and cues that\u2019ll keep your presentation engaging. And please, please, for the love of all things marketing, don\u2019t make your slides into a script.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"475\" src=\"https:\/\/webinarninja.com\/blog\/wp-content\/uploads\/2025\/12\/webinar-templates-1024x475.png\" alt=\"webinar-templates\" class=\"wp-image-6315\"\/><\/figure>\n\n\n\n<p>Anyone who\u2019s ever sat through a presentation where the presenter read slides to the audience can tell you it always begs the question: Why don\u2019t they just send me the slides and I\u2019ll read them myself?<br><br>Slides contain cues, not lines. Since it\u2019s automated, feel free to have a script for yourself, but don\u2019t share it with the audience.<\/p>\n\n\n\n<p><strong>Write the Pitch:<\/strong> Your webinar is in tune with your offer. Now, you have to decide exactly how you\u2019re gonna offer it!<\/p>\n\n\n\n<p>What can you do to demonstrate the value of your offer, and what words will you use to pitch it? How will you bridge the content to the offer?<\/p>\n\n\n\n<p>Actually, write it down, even though your exact words won\u2019t be on the slides. For example: \u201cNow you know how to integrate high-intensity interval training into your workout routine. To make sure you get the most out of your workouts, I want you to sign up for a month of personalized online coaching so we can follow through on this information together, at half the cost of a personal trainer.\u201d<\/p>\n\n\n\n<p>Relevance. Value. Timing. Those are the ingredients of a good in-webinar sales offer.<\/p>\n\n\n\n<p><strong>Engagement prep for automated delivery:<\/strong><\/p>\n\n\n\n<p>Because you cannot react live, bake engagement into the script. Every 3 to 5 minutes, add something that forces a micro-decision. A poll, a quick \u201ctype yes in chat,\u201d a 10-second reflection prompt. Those tiny beats keep attention from drifting.<\/p>\n\n\n\n<p><strong>Example<\/strong>:<\/p>\n\n\n\n<p>At minute 6, ask a poll: \u2018Which of these is your biggest blocker?\u2019 Then show results on screen and say, \u2018Most of you picked X, so I will spend the next 4 minutes solving that first.\u2019<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 3: Systematize<\/strong><\/h3>\n\n\n\n<p>Now that your content is ready, you need a system that makes it run without you.<\/p>\n\n\n\n<p>An automated webinar is more than just a video. What you need is an automated webinar system that includes the following:<\/p>\n\n\n\n<p><strong>1. Registration\/Thank You Pages: <\/strong>Your registration and thank you pages have two critical jobs, besides actually registering and thanking.<\/p>\n\n\n\n<p>These pages collect and\/or segment registrants\u2019 contact information to ensure they attend the webinar. They also help you craft your follow-up based on registrants\u2019 actions.<\/p>\n\n\n\n<p>Good webinar platforms (like, ahem, WebinarNinja) include features that allow these pages to perform these crucial tasks. You must build registration pages that set you up for the subsequent phases.<\/p>\n\n\n\n<p><strong>2. Effective Email Sequences: <\/strong>Your audience is registered. Now, you have to stay in touch with them to (again) ensure attendance before the webinar and follow up after the webinar. All of this has to be automated since you won\u2019t actually be around when they attend. That\u2019s where good email sequences are absolutely invaluable.<\/p>\n\n\n\n<p><strong>3. An Automation-Level Video:<\/strong> Remember, the fact that this webinar is automated means your production values can (and should be) much higher. Again, because it\u2019s not live, you can make this recording perfect. Take your time. Use multimedia. And edit to your heart\u2019s content. Dazzle them with your professionalism and expertise. There are various <strong>great video editing tools<\/strong> out there, no matter your expertise level or budget.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>How to set up the automation tools (simple path):<\/strong><\/h4>\n\n\n\n<p>Most platforms follow the same setup logic. Here is what it looks like in practice:<\/p>\n\n\n\n<ul>\n<li><strong>Create the webinar event:<\/strong> Upload your recorded video, slides, and any timed popups or <a href=\"https:\/\/webinarninja.com\/blog\/webinar-cta\/\" target=\"_blank\" rel=\"noreferrer noopener\">webinar CTAs<\/a> you want to appear during the session.<\/li>\n\n\n\n<li><strong>Choose your schedule type:<\/strong>\n<ul>\n<li><em>Fixed times<\/em> if you want a \u201clive feel\u201d (for example, every Tuesday and Thursday at 7 PM).<\/li>\n\n\n\n<li><em>Just-in-time<\/em> if you want instant viewing with a short delay (for example, starts in 15 minutes).<\/li>\n\n\n\n<li><em>On-demand<\/em> if your topic is broad and evergreen.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li><strong>Build your <\/strong><a href=\"https:\/\/webinarninja.com\/blog\/create-webinar-registration-page\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>registration page<\/strong><\/a><strong>:<\/strong> Add the title, promise, presenter bio, and 3 to 5 bullets of what they will learn. Keep the form short. Name and email are enough for most funnels.<\/li>\n\n\n\n<li><strong>Set <\/strong><a href=\"https:\/\/webinarninja.com\/blog\/webinar-reminder-email\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>reminder emails<\/strong><\/a><strong> inside the platform:<\/strong> A standard beginner-friendly sequence is:<br>1 day before, 1 hour before, 10 minutes before, and a \u201cstarting now\u201d email.<\/li>\n\n\n\n<li><strong>Test the full flow:<\/strong> Register using your own email, attend once as a user, click every CTA, and check that reminders arrive on time.<\/li>\n<\/ul>\n\n\n\n<p>You do not need a complicated setup to get your first automated webinar live. You need a clean path that works every time.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Connect your automated webinar to a CRM:<\/strong><\/h4>\n\n\n\n<p>This is where automated webinars become a real sales engine.<\/p>\n\n\n\n<ul>\n<li><strong>Pick the trigger:<\/strong> Most webinar tools let you send registrant activity to a CRM using a <a href=\"https:\/\/webinarninja.com\/integrations\/\" target=\"_blank\" rel=\"noreferrer noopener\">native integration<\/a> or Zapier. If your form asks for company size or role, map those too.<\/li>\n\n\n\n<li><strong>Create simple tags:<\/strong>\n<ul>\n<li>Registered<\/li>\n\n\n\n<li>Attended<\/li>\n\n\n\n<li>Attended but clicked offer<\/li>\n\n\n\n<li>No-show&nbsp;<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<p>These tags let you send different follow-ups without guessing.<\/p>\n\n\n\n<p><strong>Example:<\/strong><\/p>\n\n\n\n<p>If someone attends 70 percent of your webinar and clicks your pricing button, tag them \u201cHot attendee.\u201d Your CRM can automatically send a case study email the next morning. If someone registers but no-shows, tag them \u201cReplay needed\u201d and send a short replay sequence instead.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Track results without overcomplicating it:<\/strong><\/h4>\n\n\n\n<p>Beginners usually try to track 25 things. Track 5 first:<\/p>\n\n\n\n<ol>\n<li><strong>Registration conversion rate:<\/strong> Visitors to registrants.<\/li>\n\n\n\n<li><strong>Show-up rate:<\/strong> Registrants who attend.<\/li>\n\n\n\n<li><strong>Watch time:<\/strong> How far most people get.<\/li>\n\n\n\n<li><strong>Offer click rate:<\/strong> Attendees who click your CTA.<\/li>\n\n\n\n<li><strong>Sales conversion rate:<\/strong> Clickers who buy.<\/li>\n<\/ol>\n\n\n\n<p>If your platform shows a drop-off at minute 12, that is not \u201cinteresting data.\u201d That is a script problem. Fix the 12-minute moment, and your results climb.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Step 4: Market<\/strong><\/h3>\n\n\n\n<p>You\u2019ve planned and prepped the perfect webinar. You\u2019ve shot a glorious, professional video. You\u2019ve built a system around it. Awesome!<\/p>\n\n\n\n<p>Before you publish this thing, you have two more jobs: marketing for maximum attendance, and establishing a follow-up plan for maximum conversions.<\/p>\n\n\n\n<p>Here\u2019s how to go about it:<\/p>\n\n\n\n<ol>\n<li><strong>Create a Marketing Plan<\/strong>: You\u2019ll need some content to get people to your registration page. Depending on your budget, you can use paid tactics, like paid social media marketing, or free tactics, like helpful blogs in which you mention your upcoming webinar. Either way, those virtual seats won\u2019t fill themselves. You have to get out there and engage with your audience. Leverage your list with a smart email campaign to invite people, and include follow-up emails that encourage registrants to show up.<\/li>\n\n\n\n<li><strong>Side note: <\/strong>great webinar platforms (like, you guessed it, WebinarNinja) allow registrants to watch automated webinars instantly rather than waiting for a particular day or time. Consider taking advantage of that.<\/li>\n\n\n\n<li><strong>Create a Follow-Up Sequence: <\/strong>After your potential customer attends the webinar, you still have work to do (or rather, your automated webinar <em>system<\/em> still has work to do.) A series of emails should be sent to attendees, further encouraging them to buy into your offer if they haven\u2019t already. Don\u2019t forget about registrants who didn\u2019t attend, either instantly or at the time they registered. If the webinar is still available, get it to them. If not, make sure they know about the offer they missed. Plus, this isn\u2019t your last webinar. Make sure you keep a segment of people who registered for and\/or attended this webinar, so you can personally invite them to the next one. It may take a few webinars to convert!<\/li>\n\n\n\n<li><strong>Create Alternative Offers: <\/strong>Your offer should have more than one version. Create incentives that encourage people to buy during the webinar. <\/li>\n<\/ol>\n\n\n\n<p>Create separate incentives for those who don\u2019t, and include those in your follow-up email sequences.<br>The shape of your offer has to be flexible so that you can convert different people at different times.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><strong>Example follow-up that solves the \u201cengagement and conversion\u201d challenge:<\/strong><\/h4>\n\n\n\n<p><strong>Attended:<\/strong><strong><br><\/strong> Day 0: \u201cHere is your summary and the offer link.\u201d<br>Day 1: \u201cCase study showing the same problem solved.\u201d<br>Day 2: \u201cObjection email. Answer 3 common doubts.\u201d<br>Day 3: \u201cLast-chance incentive.\u201d<\/p>\n\n\n\n<p><strong>No-show:<\/strong><strong><br><\/strong> Day 0: \u201cSorry, we missed you. Here is the replay.\u201d<br>Day 1: \u201cTop 3 takeaways in 2 minutes.\u201d<br>Day 2: \u201cOffer expires in 48 hours.\u201d<\/p>\n\n\n\n<p>This way, you are not chasing people.
